Job Purpose &nbsp;As an Administrative Assistant, you will play a key role in supporting the overall effectiveness of the team. Working closely with the Head of&nbsp;the department, you will provide high-quality administrative support that contributes to the achievement of&nbsp;the team’s&nbsp;goals. &nbsp; This role involves handling a variety of administrative tasks with professionalism, discretion and efficiency. To succeed, you must demonstrate strong organizational skills, attention to detail and the ability to manage multiple priorities within tight deadlines. You will also collaborate with colleagues to enhance internal processes and ensure smooth day-to-day operations. &nbsp; &nbsp;Main Duties and Responsibilities &nbsp;&nbsp;<ul><li>Coordinate travel arrangements, including booking flights, rental vehicles, hotel accommodations and restaurant reservations, with a high degree of accuracy and attention to detail. &nbsp;</li><li>Perform a range of general administrative tasks such as filing, typing, copying, binding, scanning and data entry. &nbsp;</li><li>Assist&nbsp;in the preparation and formatting of regularly scheduled reports and presentations. &nbsp;</li><li>Communicate professionally and courteously via phone, email and other channels. &nbsp;</li><li>Answer and screen incoming phone calls, emails and correspondence, directing inquiries to the appropriate team members when necessary. &nbsp;</li><li>Maintain organized and up-to-date electronic and physical filing systems to ensure easy access to documents and information. &nbsp;</li><li>Proactively seek opportunities to improve administrative processes and increase operational efficiency. &nbsp;</li><li>Contribute to the organization and&nbsp;coordination of meetings and appointments, whilst&nbsp;also delivering prompt scheduling assistance as needed. &nbsp;</li><li>Monitor and respond to inquiries and requests, both internal and external, in a timely and professional manner. &nbsp;</li><li>Contribute to the planning and preparation of&nbsp;company's events or internal activities. &nbsp;</li><li>Perform a variety of ad hoc administrative tasks as required, such as supporting meeting logistics, assisting with document preparation, arranging travel, or handling office errands and supply coordination. &nbsp;</li><li>Provide general support to the wider team by undertaking responsibilities that contribute to departmental goals. &nbsp;</li><li>Ensure all responsibilities are executed&nbsp;in accordance with&nbsp;company policies, procedures, and relevant regulations. &nbsp;</li><li>Handle confidential and sensitive information with discretion, integrity and professionalism. &nbsp;</li></ul>&nbsp;Qualifications &nbsp;<ul><li>Excellent knowledge of the Greek and English language. &nbsp;</li><li>Proficient in MS Office applications including Word, Excel,&nbsp;PowerPoint,&nbsp; Outlook&nbsp;and digital collaboration platforms MS Teams, SharePoint. &nbsp;</li><li>Solid understanding of office administration principles and practices. &nbsp;</li><li>Strong organizational and time management skills with the ability to multitask and prioritize effectively. &nbsp;</li><li>Demonstrated attention to detail and accuracy in task execution. &nbsp;</li><li>Flexible and adaptable in managing diverse responsibilities. &nbsp;</li><li>Proven ability to work both independently and collaboratively within a team environment. &nbsp;</li><li>Excellent communication skills, with the ability to present information clearly and concisely. &nbsp;</li><li>Ability to work under pressure and meet tight deadlines while&nbsp;maintaining&nbsp;quality standards. &nbsp;</li><li>Demonstrated discretion, integrity, and professionalism, with a strong understanding of confidentiality. &nbsp;</li><li>A Degree in Administration or a Business-related area will be considered as an advantage. &nbsp;</li><li>At least one (1&nbsp;- 3) years&nbsp;of experience in a similar position. &nbsp;</li></ul>&nbsp;Benefits:<ul><li>Work in an international, dynamic, and fun environment, at a growing company</li><li>Attractive remuneration package</li><li>Private Medical Health Insurance</li><li>Continuing education and training</li><li>Flexible hybrid work mode</li><li>Half day leave on your birthday</li><li>Wellness Support – Unlimited access to our dedicated wellness platform for mental health resources, coaching and self-care tools.</li></ul>&nbsp;If you are looking for a role that is both challenging and fun, get your career on course by joining a globally recognized industry leader.We are proud to be an equal opportunity employer, committed to creating an inclusive and diverse workplace where all individuals are valued, respected and given the same opportunities to thrive and succeed.&nbsp;APPLY HERE: <a target="_blank" rel="noopener noreferrer" href="https://tototheo.bamboohr.com/careers/217">https://tototheo.bamboohr.com/careers/217</a>&nbsp;
